Cancellation Policy

This Cancellation Policy explains how you can cancel your subscription or close your CiteOptify account, operated by Mirnesa Čalaković. You have the right to cancel at any time — this policy explains exactly what happens when you do.

1. Types of Cancellation

1.1 Subscription Cancellation

Cancelling your subscription stops future billing. You retain full access to your subscription features and credits until the end of your current paid billing period. Your account remains open and any credits not tied to the subscription remain available.

1.2 Account Closure

Closing your account permanently deletes your account, audit history, and all associated data. This action is irreversible. Account closure automatically cancels any active subscription.

2. How to Cancel Your Subscription

2.1 Self-Service

You can cancel at any time without contacting us:

  • Account settings: Log in and navigate to Settings → Subscription to manage or cancel your plan
  • Paddle customer portal: Use the subscription management link in any of your Paddle payment confirmation or renewal emails

2.2 Cancellation by Email

If you are unable to cancel via self-service, email us at [email protected] with:

  • The email address associated with your account
  • A clear statement that you wish to cancel

We will process your cancellation within 1–2 business days and send confirmation.

2.3 How to Close Your Account

Account closure requests must be made by email to [email protected]. Please allow up to 5 business days for account data to be permanently deleted.

3. When Cancellation Takes Effect

3.1 Immediate Effects

As soon as you cancel:

  • No further charges will be made
  • Your subscription will not renew at the end of the current billing period

3.2 Until the End of Your Billing Period

You retain full access to all subscription features and credits until your current paid period expires, including:

  • All subscription credits allocated for the period
  • Premium export formats (PDF, XLSX, PPTX where applicable)
  • White-label and custom branding features (Scale plan)
  • Bulk URL discovery (Scale plan)
  • Priority support

3.3 After the Billing Period Ends

When your paid period expires:

  • Unused monthly subscription credits expire and are forfeited
  • One-time Audit Pack credits and Top-Up credits remain in your account — they do not expire
  • Subscription-exclusive features (premium exports, white-label, bulk discovery) become unavailable
  • Your audit history and account data remain accessible

4. What Happens to Your Data

4.1 After Subscription Cancellation

Cancelling your subscription does not delete your data. Your account, audit history, saved reports, and any remaining non-subscription credits are retained and accessible.

4.2 After Account Closure

When you request account closure, within 30 days we will:

  • Permanently delete all audit results, reports, and Customer Content
  • Remove your account and profile information
  • Cancel any active subscription
  • Forfeit any remaining credits (unused credits are not refunded upon voluntary account closure, unless otherwise eligible under our Refund Policy)

We will retain financial and transaction records for as long as required by applicable law (typically 5–7 years). This data is held for legal and accounting purposes only and is not used for any other purpose.

5. Refunds on Cancellation

Cancellation does not automatically entitle you to a refund. We do not issue prorated refunds for the unused portion of a billing period. Refund eligibility is assessed under our Refund Policy. Exceptions include:

  • Charged after confirmed cancellation: If you are billed after a properly confirmed cancellation, contact us and we will issue a full refund
  • EU statutory withdrawal right: EEA customers may be entitled to a 14-day cooling-off period — see Section 6 below
  • Service discontinuation: If we discontinue CiteOptify, prorated refunds will be issued for unused paid subscription time and unused one-time credits — see Section 8

6. EU / EEA Cooling-Off Period

If you are located in the European Economic Area, you have a statutory right to cancel a subscription within 14 days of the initial purchase without providing a reason. If you have already used the service during this period, we may charge proportionately for the service provided. Refunds will be processed within 14 days of receiving your cancellation notice.

Note that CiteOptify is a B2B platform and this statutory right applies primarily to individuals acting in a non-business capacity.

7. Avoiding Unwanted Renewals

To ensure you are not charged for a renewal you do not want:

  • Cancel at least 24 hours before your renewal date
  • Your renewal date is displayed in Settings → Subscription and in your Paddle payment emails

If you are charged after cancelling, contact us immediately with your cancellation confirmation and we will investigate and refund if the cancellation was validly processed.

8. Cancellation Due to Non-Payment

If a scheduled renewal payment fails, Paddle will retry the charge automatically. You will receive email notifications for each failed attempt. If payment cannot be collected after multiple attempts, your subscription will be automatically cancelled and you will lose access to subscription features. One-time and Top-Up credits are not affected by payment failure.

9. Cancellation by CiteOptify

9.1 Breach of Terms

We may cancel your subscription or close your account if you violate our Terms and Conditions, engage in fraudulent or abusive behaviour, or use the platform in a way that harms other customers or third parties. Where the breach is remediable, we will give 14 days' written notice before acting. For serious violations, we may act immediately.

9.2 Service Discontinuation

If we decide to discontinue CiteOptify entirely:

  • We will provide at least 30 days' advance notice by email
  • You will have the opportunity to export your audit data before closure
  • Prorated refunds will be issued for the unused portion of any active subscription
  • Unused one-time credits will be eligible for refund

10. Reactivation

10.1 Reactivating a Cancelled Subscription

If your subscription is cancelled but your account is still open, you can resubscribe at any time through Settings → Subscription. Reactivation starts a new billing cycle immediately. Your previous pricing is not guaranteed if plan prices have changed.

10.2 Reopening a Closed Account

Closed accounts cannot be reopened. You can register a new account using the same email address, but previous audit history and credits cannot be recovered.

11. Cancellation Confirmation

When your cancellation is processed you will receive a confirmation email from Paddle or from us (depending on the cancellation method used). The confirmation includes your final access date. If you do not receive confirmation within 24 hours of cancelling, contact us to verify the cancellation was recorded.
